Job Description

Summary position objective:

·      Assist in day-to-day operation and organisation of the office;

·      Provide administrative support to the Nicosia office team.

Duties and responsibilities:

Responsible for the daily administration of the office as follows:

·      Open and close the office and overlook the daily cleanliness and neatness of the office space if the Executive Secretary is not available;

·      Supervise, safeguard and arrange for the adequacy of the Company’s petty cash;

·      Answer, return and transfer telephone calls and inform colleagues of messages from clients and business contacts;

·      Supervise incoming/ outgoing couriers (including package preparation and cover letter);

·      Ascertain that mail is collected daily from the office building entrance and the P.O. Box; ensure it is forwarded to the intended persons;

·      Issue cheques, invoices and receipts upon instructions;

·      Perform basic bookkeeping tasks, such as entering suppliers’ invoices and receipts, as well as the invoices and receipts of the three Group companies; 

·      Organize travel arrangements for the Directors including liaising with airlines, hotels, drivers etc;

    Liaise with clients, associates, suppliers, governmental authorities and banks.

·      Welcome visitors to the office, make them comfortable and offer refreshments if the Executive Secretary is not available

·      Provide administrative support to other members of staff;

·      Attend related exhibitions, conferences and networking events as and when required, for business continuity;

·      Perform any other related duties that may be assigned from time to time.

Required Qualifications

Background and education:

·      Holder of a university Degree (especially in secretarial studies) is considered an advantage;

·      Advanced knowledge of Microsoft Office, Excel, Power Point;

·      Advanced Greek and English language skills are required;

·      Russian language knowledge is considered as an advantage.

Work experience:

·      Minimum experience: 2 years in a similar position.

·      Maximum experience: 5 years in a similar position.

Other Requirements

Working hours:

·      Monday to Friday as follows: 08:00 – 13:00 and 13:00 – 17:30.

Overtime / weekend work prospect:

·      Overtime is expected in few instances and as per requirement;

·      Weekend work and bank holidays prospect: As per requirements every now and then.
